How to track income and expenses in LUME Hub Finance
Updated
Quick answer
To record income or an expense in LUME Hub, open Management > Finance, go to the Cash tab and click the add entry button. Choose income or expense, enter the amount, category and description, check the cash date and accrual month, pick the account and save. The entry updates the month balance right away.
Cash (on screen, Caixa) is the Finance tab that holds all the money that came into and left the business. It drives the month balance, the first number at the top of Finance. This tutorial shows how to add income or an expense by hand. If you have lots of transactions, it's faster to import your bank statement as an OFX file.
The menu is in English, but the labels inside Finance are still in Portuguese, and amounts are in Brazilian reais (R$). Below, each label appears in Portuguese with its meaning.
Before you start: add your bank accounts
On the Contas (Accounts) tab, click "Nova conta" (New account) and enter the bank, the last 4 digits of the account (full branch and account numbers are never stored in the Hub), and optionally an opening balance and its date. That way each entry is tied to the right account, and you can see a single account's balance in the month balance picker.
Step by step
- Open the Management app from the app launcher and choose Finance.
- At the top, check the month in the month picker (the arrows change the month; "Hoje" jumps back to the current one).
- Open the Caixa (Cash) tab and click "Lançar" (Add entry).
- In the new entry dialog, choose Entrada (Income) or Saída (Expense).
- Enter the Valor (R$) (Amount) and pick a Categoria (Category), such as Serviços (Services), Consultoria (Consulting), Software, Marketing or Tarifa bancária (Bank fee).
- Write a Descrição (Description) so you'll recognize it later.
- Check the Data (caixa) (Cash date) and the Competência (Accrual month). The accrual month follows the date until you change it.
- Choose the Forma (Payment method: PIX, Boleto, Cartão, Transferência or Outro), the Conta (Account) and, if relevant, the Cliente (opcional) (Client, optional).
- Click "Salvar" (Save). You'll see "Lançamento registrado" (Entry saved) and the month balance updates.
Cash date vs. accrual month
Work done in October and paid in November has a cash date in November and an accrual month of October. Cash and the month balance show it in November, because that's when the money arrived. The Resultado (Result) tab shows it in October, because that's when the work happened. Keeping both dates is what lets you see, at the same time, how much money you have and how much the month actually earned. The idea is explained in what is cash flow.
How to find and export entries
On the Cash tab, filter by Tudo (All), Entradas (Income) or Saídas (Expenses) and use the Buscar (Search) field. The "CSV" button downloads the month's entries for a spreadsheet. To edit or delete, use the three dots on the row.
Entries marked "baixa" come from client payments: they're created when you record a payment on an installment and are edited on the Receivables tab. See how to track accounts receivable.
Owner loans
If a partner put money into the business or paid one of its bills, use the Empréstimo de sócio (Owner loan) category. The dialog asks for the Sócio (Partner) and the Sentido (Direction: who owes whom). This entry moves cash but not the result, and it shows up under "Conta com os sócios" (Partner balance) on the Result tab.
Frequently asked questions
What's the difference between the cash date and the accrual month?
The cash date (“Data (caixa)”) is the day the money hit or left the account. The accrual month (“Competência”) is the month the income or expense belongs to. Cash and the month balance use the cash date; the Result tab uses the accrual month.
How do I edit or delete an entry?
On the Cash tab, click the three dots on the row and choose “Editar” (Edit) or “Excluir” (Delete). Entries that come from client payments are edited on the Receivables tab.
What is a technical account?
An account that isn't real money, such as a consolidated history. It stays out of the month balance when the filter is set to real accounts only (“Contas reais (sem técnicas)”).
Can I export my entries to Excel?
Yes. The “CSV” button on the Cash tab downloads the month's entries with date, type, category, description and amount, ready for Excel or Google Sheets.
