How to track accounts receivable and collect late payments in LUME Hub

Updated

Quick answer

In LUME Hub, receivables live in Management > Finance > Receivables. Filter to overdue only to see who owes you, click the WhatsApp icon to send a ready-made reminder and, when the client pays, record the payment with the amount received. The payment goes into your cash book automatically, under the installment's accrual month.

The Receivables tab (on screen, A receber) lists everything clients owe you: every installment of every contract, with due date, amount and status. It drives the overdue number at the top of Finance, and it's where you send reminders and record payments.

Installments come from contracts. If the list is empty, start by setting up recurring client contracts.

The menu is in English, but the labels inside Finance are still in Portuguese, and amounts are in Brazilian reais (R$). Below, each label appears in Portuguese with its meaning.

Step by step

  1. Open the Management app from the app launcher, choose Finance and go to the A receber (Receivables) tab.
  2. In the status filter, choose "Só atrasadas" (Overdue only) to see who owes you. The other filters are Em aberto (Open), Pagas (Paid), Parciais (Partial), Isentas (Waived) and Canceladas (Canceled).
  3. To send a reminder, click the installment's WhatsApp icon ("Cobrar no WhatsApp", Send reminder on WhatsApp). WhatsApp opens with a polite message, in Portuguese, that mentions the amount and due date.
  4. Review the text and send it in WhatsApp.
  5. When the client pays, click "Baixa" (Record payment) on the installment.
  6. In the dialog, enter the Valor recebido (Amount received), the Data (Date) and the Forma (Payment method) and click "Confirmar" (Confirm).
  7. The installment turns Pago (Paid), or Parcial (Partial) if something is still missing, and the payment goes into cash as a client payment, under the installment's accrual month.

How to see what's due and what's overdue

By default, the list shows everything overdue plus the current and next month. The period picker also offers just the month selected at the top and "Ver tudo (agenda dos contratos)" (See everything, the full contract schedule). Above the list you'll see the Vencido (Overdue) and A vencer (Upcoming) totals.

An installment becomes Atrasado (Overdue) on its own once the due date passes without payment. To find a client, use "Buscar cliente" (Search client) or the client filter. The CSV button downloads the filtered list.

How to track late payments

At the top of Finance, the overdue figure shows the amount and number of past-due installments. On the Visão geral (Overview) tab, the Inadimplência (Delinquency) indicator and the total overdue panel split the debt by age: up to 30 days, 31 to 60 days and over 60 days. That shows at a glance which reminders to send first.

Other actions on an installment

From the installment's menu you can Marcar isento (Waive), Cancelar (Cancel), Reabrir como pendente (Reopen as pending) or Excluir cobrança (Delete charge). To change several at once, tick their boxes and use Isentar (Waive), Cancelar (Cancel) or Excluir (Delete) in the bar that appears.

Frequently asked questions

The client only paid part of it. How do I record that?

Click “Baixa” (Record payment) and enter only the amount received. The installment becomes Parcial (Partial) with the rest still open. When the client pays the rest, record another payment and it turns Pago (Paid).

The WhatsApp button says the client has no WhatsApp. What do I do?

Add the number on the Clients tab: click “Editar” (Edit) on the client and fill in the WhatsApp field. After that, the WhatsApp reminder button opens the chat with the message ready.

Is the reminder sent automatically?

No. LUME Hub opens WhatsApp with the text already written, and you review and send it. Nothing goes out until you hit send.

What's the difference between waiving and canceling?

Waiving marks the installment as Isento (Waived): the client doesn't have to pay that one, but the contract continues. Canceling marks it Cancelado (Canceled). Both leave the open list, and you can reopen either as pending later.
