How to create a quote and send it to your client for online approval

Updated

Quick answer

In LUME Hub, open Management > Quotes and click the new quote button. Add a title, the client and an expiration date, add team hours, equipment hours or extras, set markup, taxes and discount, and send it to the client. Copy the link or share it on WhatsApp: the client accepts the quote right on that page.

The Quotes screen builds each quote from what the job really costs: the hours of each team role, the use of each piece of equipment, and any extras. You see the cost, markup and profit; your client gets a link, sees the line items and total, and accepts online.

Quotes appears in the Management app for production company accounts (LUME Hub Produtoras) that include Finance. If it's not in your menu, your account doesn't include that screen.

The menu is in English, but the labels inside Quotes are still in Portuguese, and amounts are in Brazilian reais (R$). Below, each label appears in Portuguese with its meaning.

Before your first quote: hourly rates and equipment

On the Quotes screen, click "Equipamentos e valor-hora" (Equipment and hourly rates).

  • Under Valor da hora (Hourly rate), add each Função (Role, for example "Camera operator") with its Valor da hora (R$) and click "Adicionar" (Add).
  • Under Equipamentos (Equipment), click "Novo equipamento" (New equipment) and enter the name, category, purchase price, residual value, useful life in months and hours of use per month. LUME Hub calculates the Custo da hora de uso (Hourly cost of use): purchase price minus residual value, divided by useful life and by monthly hours of use.

Step by step

  1. Open the Management app and choose Quotes.
  2. Click "Novo orçamento" (New quote).
  3. Under "Proposta e cliente" (Quote and client), fill in the Título da proposta (Quote title), the client's name, company and email, Válida até (Valid until) and Observações para o cliente (Notes for the client: payment terms, delivery time, what's included).
  4. Under Itens (Items), add hours for a team role or a piece of equipment, or click "Adicionar extra" (Add extra) for anything else. Each line needs a description, quantity and value.
  5. Set Margem (Markup), Impostos (Taxes) and Desconto (Discount). The summary shows your cost, the item total, the Total para o cliente (Client total) and Seu lucro (Your profit).
  6. Click "Ver como o cliente vê" (See it as the client does) to preview the client page.
  7. Click "Enviar ao cliente" (Send to client). In the dialog that opens, click "Copiar" (Copy) or share it via WhatsApp or E-mail.

How taxes and markup affect the price

Each line's price is its cost plus your markup. Taxes are added on top: the client sees the line prices, the discount, a tax line and the total. If the numbers mean a loss, the editor warns you ("Com esses números você fica no prejuízo", With these numbers you lose money); it also warns if the discount is larger than the item total.

LUME Hub won't send a quote with no title, no items, a line without a description, a zero total or an expiration date in the past.

Track the client's answer

Each quote has a status: Rascunho (Draft, not sent yet), Enviado (Sent, the client can open it), Aceito (Accepted), Recusado (Declined) or Expirado (Expired, passed its date with no answer). The list shows how many quotes and how much value sit in each status, and search finds quotes by title, client or number.

The quote's "more actions" menu has Duplicar (Duplicate), Voltar para rascunho (Back to draft, which takes the link offline), Marcar como recusado (Mark as declined) and Excluir (Delete). Frequently asked questions

Does the client see my cost and markup?

No. The link shows each line item with its price, the discount, taxes and the total. Cost, markup and profit are only visible to you, in the editor.

Does the client need an account to accept?

No. They open the link, review the quote and click “Aceitar a proposta” (Accept the quote), entering their full name and email and checking that they agree. They can also decline and give a reason.

I changed the quote after sending it. Does the client see the new version?

Yes. When you save a sent quote, the link shows the new version right away. Once accepted, the quote is locked; to change it, use “Duplicar” (Duplicate) and send the new one.

Does changing an hourly rate affect old quotes?

No. Each line keeps the value from when it was added. Changes under equipment and hourly rates only apply to new quotes.
