How to set up clients and recurring contracts in LUME Hub Finance
Updated
Quick answer
In LUME Hub, open Management > Finance, add the client on the Clients tab and click the contract button. Choose the type (monthly, yearly, installments or one-time payment), the amount, the due day and the start date, then create it. LUME Hub generates the installments for you, and they show up on the Receivables tab.
In LUME Hub Finance, a contract is the billing agreement with a client: how much, when and for how long. Once it's set up, you don't have to remember to enter each monthly fee: LUME Hub creates the installments, and they show up under Receivables on the right day.
The menu is in English, but the labels inside Finance are still in Portuguese, and amounts are in Brazilian reais (R$). Below, each label appears in Portuguese with its meaning.
Step by step
- Open the Management app from the app launcher and choose Finance.
- On the Clientes (Clients) tab, click "Cliente" (Client) and fill in Nome (Name), WhatsApp, CPF / CNPJ (Brazilian tax ID), Email and Notas (Notes). Save.
- Still on Clients (or on the Contratos, Contracts, tab), click "Contrato" (Contract). The new contract dialog opens.
- Pick the Cliente (Client) and the contract Tipo (Type); see the table below.
- Enter the Valor (R$) (Amount), the Dia venc. (Due day, 1 to 28) and the Início (Start date). For installments, also enter the Nº parcelas (Number of installments).
- Pick the income Categoria (Category) and, if you like, a Descrição (Description).
- Click "Criar" (Create). A notice confirms the contract and how many installments were created.
Contract types
| Type (on screen) | How it bills | Installments created |
|---|---|---|
| Mensalidade (Monthly) | Every month, same day | 12, one per month |
| Anuidade (Yearly) | Once a year, in the start month | 1 |
| Parcelado (Installments) | A fixed number of monthly installments | The number you enter |
| Pagamento único (One-time) | A single charge, no repeats | 1, on the start date |
Monthly and yearly contracts count toward monthly recurring revenue ("Receita recorrente (MRR)") on the Overview tab: monthly fees at full value and yearly fees divided by 12. Installment and one-time contracts don't count as monthly revenue.
How to manage contracts
On the Contratos tab, each contract has a menu with:
- Editar (Edit): change the amount, due day, category, description and status.
- Gerar +12 parcelas (Add 12 more installments): monthly contracts only, when installments are running out.
- Pausar (Pause) and Ativar (Activate): put the contract on hold and resume it.
- Encerrar (End) and Cancelar contrato (Cancel contract): stop the contract and, after you confirm, cancel the open charges from today on.
- Excluir contrato (Delete contract): remove the contract.
Where contracts show up in Finance
Installments live on the Receivables tab, where you send reminders and record payments: see how to track accounts receivable and collect late payments. On the Overview tab, next to recurring revenue, you'll find the average monthly ticket ("Ticket médio mensal") and active clients ("Clientes ativos", those with an active contract). On the Clients tab, each client shows whether they have a contract and what's overdue or upcoming.
To see where contracts fit in the rest of the app, read the Management app guide.
Frequently asked questions
How many installments does a monthly contract create?
A monthly contract (Mensalidade) creates 12 installments, one per month, always on the due day you chose. When they're running out, use “Gerar +12 parcelas” (Add 12 more installments) in the contract's menu on the Contracts tab.
Why does the due day only go up to 28?
So the charge falls on the same day every month, February included. That's why the due day field (“Dia venc.”) accepts 1 to 28.
What happens to the charges when I end a contract?
When you end or cancel a contract, LUME Hub asks first and then cancels the unpaid charges due from today on. Paid charges and those that fell due before today stay as they are.
Can I change a contract's type after creating it?
No. When editing, the client and type are locked; you can change the amount, due day, category, description and status. To switch types, end the contract and create a new one.
