How to manage your sales pipeline in Prospector (stages, status and notes)

Updated

Quick answer

To manage your sales pipeline in Prospector, open Pipeline in the Sales app and drag each lead to the stage it is in. The stages are yours: create one with the new-stage button, rename it or change its color with the pencil, and reorder with the arrows. Click a lead to change its status, add notes and open WhatsApp.

The Prospector Pipeline shows every business you found on Google Maps, one column per sales stage. It is a kanban board: you drag a lead from one column to the next as the conversation moves forward. This tutorial covers moving leads, adapting the stages to your process and using each lead's card.

The screens inside Prospector are in Portuguese, so on-screen labels appear as Portuguese label (English meaning).

The default pipeline stages

The first time you open it, the pipeline comes with six stages:

StageWhen to use it
Novo lead (new lead)The business just arrived from a search.
Primeiro contato (first contact)You sent the first message.
Em negociação (negotiating)The business replied and is talking to you.
Proposta enviada (proposal sent)The quote or proposal is out.
Fechado (won)They became a client.
Perdido (lost)It won't close for now.

Every new business lands in the first stage. If your process is different, change the stages as shown below.

Step by step

  1. Open the Sales app and click Pipeline in the menu.
  2. To move a lead, click and hold its card and drag it to the new stage's column. The change saves instantly.
  3. To create a stage, click Nova etapa (new stage), type the Nome (name), pick a Cor (color) and click Salvar (save). It is added at the end of the pipeline.
  4. To rename a stage or change its color, click the pencil at the top of the column, adjust it and click Salvar.
  5. To change the order, use the left and right arrows at the top of each column.
  6. To delete a stage, open the pencil and click Excluir (delete). Its leads move to the first stage.
  7. Click any card to open the lead and work on it.

What you can do on the lead card

The lead card brings the business's contact details and history together:

  • WhatsApp, Instagram, Site and Maps open in a new tab. Opening WhatsApp marks the lead as "Contatado" (contacted).
  • Achar o decisor no LinkedIn (find the decision-maker on LinkedIn) opens a people search with the company name and city, so you can find the owner or partner.
  • Status: Novo, Contatado, Respondeu, Reunião, Fechado or Descartado (new, contacted, replied, meeting, won, discarded).
  • Notas (notes): type in the "Anotar…" field and click Salvar. Each note keeps the date and the stage the lead was in.
  • Enviar p/ base geral (send to lead base): moves the lead into RADAR social selling.
  • Excluir (delete): removes the lead after you confirm.

Filter every lead in My leads

The My leads screen lists every lead Prospector generated as cards. Use the filters at the top:

  • Presença (presence): no website, social media only or has a website.
  • Status: the same six statuses as the lead card.
  • Cidade (city): type to filter.

It's the best place for an outreach round: filter "Novo" and "Sem site", open WhatsApp for each one and update the status as replies come in.

Tips to keep your pipeline healthy

  • Review it daily. A lead stuck in the same column for a long time needs a new message or the lost stage.
  • Keep stages few. Each stage should be a step the client takes, not a task of yours.
  • Note why deals are lost. Notes help you see why businesses don't close.

Frequently asked questions

What are the default stages of the Prospector pipeline?

Novo lead (new lead), Primeiro contato (first contact), Em negociação (negotiating), Proposta enviada (proposal sent), Fechado (won) and Perdido (lost). They are created the first time you open the pipeline or run a search, and you can change all of them.

What happens to leads when I delete a stage?

They move to the first stage of the pipeline. No lead is deleted. The pipeline needs at least one stage, so the last one can't be removed.

What is the difference between stage and status?

The stage is the pipeline column, and you create your own. The status is a fixed list (new, contacted, replied, meeting, won, discarded) used to filter in My leads. Opening WhatsApp from the lead card sets the status to contacted.

Can I use the pipeline on my phone?

Yes. On a phone, press and hold the lead card for a moment before dragging it to another column. The pipeline scrolls sideways when there are many stages.
