How to manage scheduled Instagram posts: reschedule, publish now or cancel

Updated

Quick answer

To manage scheduled Instagram posts in LUME Hub, open Automations → Posts. The screen lists everything the Hub publishes: scheduled, published, failed and canceled posts. For each one you can publish now, change the time, cancel or open it on Instagram. Posts are scheduled from CAPI AI, Videos or the LUME Office.

The Posts screen is the queue of everything LUME Hub publishes to your Instagram: what's going out, what went out, what failed and why. It opens on any plan with a feature that uses Instagram, and it needs the account connected under Automations → Connections (how to connect Instagram to LUME Hub).

The automation screens currently show their labels in Portuguese, so each label is quoted as it appears, followed by its meaning.

Where posts come from

This screen doesn't create posts. They come from three places:

  • CAPI AI: finished design → schedule. See the CAPI AI section.
  • Videos: approved Reel → schedule. See the Content section.
  • LUME Office: the Office's AI agents can schedule posts too. See the AI Team section.

Each card shows the source ("CAPI IA", "Vídeos" or "Escritório"), the format ("Foto" = photo, "Vídeo", "Reels", "Carrossel" = carousel, or "Story"), the account and the time. Trial Reels get a "Teste" ("Trial") tag.

Step by step

  1. In the menu, open Automações → Publicações (Automations → Posts).
  2. Pick a filter: Agendadas ("Scheduled"), Com erro ("Failed"), Publicadas ("Published"), Canceladas ("Canceled") or Todas ("All"). The list refreshes itself every minute; to force it, click Atualizar ("Refresh").
  3. To publish ahead of time, click Publicar agora ("Publish now"); on a failed post the button reads Tentar de novo agora ("Try again now").
  4. To change the time, click Mudar horário ("Change time"), or Agendar de novo ("Schedule again") on a canceled post, or Agendar para outro horário ("Schedule for another time") on a failed one. Pick the date and time and click Salvar horário ("Save time"). The new time must be at least 2 minutes from now and within one year.
  5. To drop a post, click Cancelar ("Cancel") and then Confirmar: cancelar ("Confirm: cancel").
  6. On a published post, click Ver no Instagram ("View on Instagram") to open it.

What each status means

Status on screenWhat's happening
Aguardando (Waiting)The post was sent to go out right away and is waiting its turn in the queue.
Agendada (Scheduled)It will go out at the set time. The Hub's publisher runs every 5 minutes.
Publicando agora (Publishing now)The Hub is sending it to Instagram.
Instagram processando o vídeo (Instagram is processing the video)The video was sent and Instagram is preparing it. This can take a few minutes.
Publicada (Published)It's live on Instagram.
Com erro (Failed)Instagram refused it. The reason shows on the card.
Cancelada (Canceled)It won't go out.

When a post fails

If a post failed, a banner at the top tells you how many posts failed and links you to the reason so you can try again. The card shows the reason Instagram gave and, after 3 attempts, how many times the Hub tried.

A Reel that came from Videos and was canceled can't be rescheduled here: it was canceled because the video went back to editing or the client asked for changes, and rescheduling would skip approval. That path is the Videos screen.

Frequently asked questions

Why is there no button to create a post on the Posts screen?

Because it is the queue of what has already been scheduled. Posts start in CAPI AI (finished design → schedule), in Videos (approved Reel → schedule) or from the LUME Office.

How long does Instagram take to publish a video?

The Hub's publisher runs every 5 minutes. After upload, Instagram processes the video, which can take a few minutes. The status reads “Instagram processando o vídeo” until it goes live.

What happens to scheduled posts if I disconnect Instagram?

Posts scheduled on that account are canceled. Anything already published stays on Instagram.

Can I reschedule a canceled Reel here?

No. A Reel that came from Videos and was canceled goes back through the Videos screen, so it passes approval again.
